Marketing Project Manager

About the Position

*EST + CST Time Zones Only*

Pyxl is looking for a Marketing Project Manager to join our growing team. This role is built for someone who has mastered the craft of digital marketing project management in an agency environment — someone who runs tight projects, keeps clients confident, and drives internal teams to deliver on time and to scope.

You will own the end-to-end project lifecycle across a portfolio of full-funnel marketing accounts spanning strategy, content, branding, SEO, email, paid media, AI-powered workflows, and reporting. You are the central hub between clients and every internal discipline at Pyxl.

This is not a role for someone curious about AI tools — it is a role for someone already using them. Pyxl is actively transforming into an AI-enabled agency, and this position sits at the center of that shift. We expect you to bring AI into how you manage projects, communicate, and solve problems on day one. If AI adoption is not already embedded in how you work, this is not the right fit.

Job Responsibilities

Project Ownership & Delivery

  • Lead end-to-end project management across the full lifecycle — from initial scoping, estimating, and budgeting through planning, execution, and final delivery — ensuring every project is on time, on budget, and to scope.
  • Own day-to-day project coordination and trafficking of full-funnel marketing accounts, keeping all workstreams organized and moving in parallel.
  • Develop and maintain detailed project timelines, task assignments, and deliverable tracking in Asana, ensuring all stakeholders are aligned at every stage.
  • Proactively identify and surface project risks, scope changes, and timeline shifts before they become problems — not after.

Client Management

  • Serve as the primary point of contact for a portfolio of clients — leading status calls, communicating project progress, and managing expectations throughout every engagement.
  • Traffic creative, content, and campaign assets between clients and internal teams; manage all feedback loops and approval processes cleanly and efficiently.
  • Identify and develop growth opportunities within existing client accounts; bring upsell and expansion opportunities to the attention of the client strategy team.
  • Support business development activity, including involvement in new business presentations and client meetings.

Internal Team Coordination

  • Coordinate across strategy, website, content, SEO, design, paid media, and email teams — ensuring workstreams are clearly briefed, deadlines are understood, and nothing falls through the cracks.
  • Brief internal teams on client requests and campaign requirements with clear scoping documentation; hold the team accountable to timelines and output quality.
  • Manage and communicate resource and capacity needs across active accounts, proactively flagging both over- and underutilization to the Director of Operations.

Financial & Operational Management

  • Monitor project budgets across accounts; maintain an up-to-date understanding of spend and flag variances early to the Director of Operations.
  • Work with the Director of Operations to scope projects accurately, forecast revenue, and manage the financial performance of accounts.
  • Support accurate reporting of project position in the sales and utilization tracking systems.

AI Adoption & Workflow Innovation

  • Actively use AI tools in your day-to-day project management workflows.
  • Champion AI adoption across the project management function; identify and implement AI-powered tools and processes that improve coordination, communication, and delivery.
  • Stay current on emerging AI platforms and evaluate their application to agency operations, bringing actionable recommendations to the team.
  • You are already using AI tools (Claude, ChatGPT, Gemini, or similar) as part of your current work — for drafting, summarizing, research, planning, or workflow automation. You should be able to speak to specific examples in your interview.
  • You are energized by the direction AI is taking agency work — not skeptical of it, not neutral about it.
  • You understand that Pyxl’s transformation into an AI-enabled agency is a strategic priority and that you will be expected to lead adoption within your function, not just participate in it

Job Expectations

Experience & Skills

  • 3+ years of experience in a project management, traffic, or account coordination role at a digital or creative agency.
  • Strong working knowledge of full-funnel digital marketing — including awareness, consideration, and conversion strategies across content, SEO, social, email, and paid media — sufficient to manage timelines and brief teams without executing the work directly.
  • Demonstrated ability to manage multiple clients, workstreams, and deadlines simultaneously without dropping the ball.
  • Familiarity with Asana (or equivalent project management tools) for task and project tracking.
  • Good numeracy skills for estimating, budget tracking, scheduling, and invoicing.
  • Confident and polished communicator — comfortable leading client calls, navigating difficult conversations, and holding internal teams accountable.

Approach & Mindset

  • Authoritative and proactive — you keep projects moving by directing others confidently, not waiting to be told what to do next.
  • Able to have tough conversations — with your internal team on hours and overdue tasks, and with clients on scope, timelines, and feedback.
  • Highly organized with exceptional attention to detail and a consistent drive to improve the quality of output.
  • Analytical and forward-thinking — you use data to identify problems early and leverage new technology as it evolves.
  • A collaborative team player who thrives in a fast-paced, client-first environment.
